I wish I lived within almost-reasonable driving distance of this event so that I could make a crazy last-minute decision to drive like 8 hours and crash on someone's floor, because it sounds like this is going to be a real blast. At very least we need to try to set up something interactive (via Skype or something) for the Thursday night K&K social so those of us who aren't there in person can still be in spirit.

We have posted it some many times before in the NTRPGCon forums.
You have to call the hotel to get the Con rates... which are also posted on the site more than once.
All rooms have FULL kitchens and pull out sofa beds in addition to:
Queen Studio Suite - 1ea Queen Bed $89.00
1 Bedroom King - 1ea King Bed - $99.00
1 Bedroom Double - 2ea Double Beds - $99.00
People have been booking the Queen Studio suite more than times than the Double Bed suite (you get another bed for $10.00 more, so I don't understand the logic, you can sleep a 3rd person for $10.00)
In any case, the 10ea Queen Studio Suites were booked up the other day and I called to have them add more... we have 22 Double Bed suites set aside as well as 4ea 1Bedroom King Suites for those that want the larger bed.
but ALL Suites have a sofa bed as well... so no one needs to sleep on the floor
And the link/address/phone I have on the site is the one we are staying at so you won't be confused... but I can post here is as well:

He may have been misinformed. I don't know. But that's where the logic is coming from.

I just called the hotel to bitch and the lady I need to talk to is NOT there at the moment so I can't....
We are suppose to have 22ea 1 Bedroom Suite w/2ea Double Beds available for Con Attendees to reserve, 10ea Queen Studio Suites with 1ea Queen Bed, 4ea 1 Bedroom Suite with 1ea King Bed... for $99/$89/$99 respectively.
When I just called the hotel the idiot there is telling me he only shows the Queen Studio is for the Con attendees !!!!
I am going hurt some people at this hotel !

Ok, here's the deal...
When people are calling in, they are letting the desk know they are attending the North Texas RPG Con, then asking for the cheapest/lowest rate...
So the cheapest Room is the Queen Studio ie: 1 Queen bed, 1 sofa, $89.00 a night....
You ask for the cheapest room, you get the cheapest room (alt least this is what they are telling me)
You have to tell them you want to book the 1 Bedroom Suite with 2 double beds at the Con rate ($99.00 a night) which has 2 double beds and 1 sofa bed.
What's not straightened out is this.
I reserved and confirmed reservations for the 4 Two Bedroom Suites (they have one on each floor). These have 2 doubles beds in one room with a bathroom, 1 double bed in the other room with a bathroom, plus the living area with a sofa. These are for the special guests and they can sleep 3 to a Suite.
Well, who cares that I have a reservation and confirmation numbers for them... they can never guarantee any specific room number since they are an "extended stay" hotel. If someone else is already booked in that room and doesn't want to check out any time soon, they can stay in the room as long as they want !!! So currently the 4 Two Bedroom Suites are now booked for some long term stays (I don't know, insurance stuff for people with Tornado damage etc)... so now I gota deal with 8 rooms instead of 4 etc etc etc ... what a pain ..
Glad we will have to switch hotels next year... I will be sure to get some better clarification at the next hotel

I'd be coming from West Lafayette, IN (draw a line between Indianapolis and Chicago, and I'm about 40% of the way to Chicago from Indy).
By train: 28 hours of total travel one-way, change trains in Chicago, $300 round trip
By plane: 3.5 hours flight time one-way, change planes at MCI, $334 round trip (Southwest web only "gotta getaway" rate)
By auto: 16 hours of drive time, about 1000 miles one way, I figure 20mpg in my small SUV, at $4.25/gallon, thats $424 round trip in gas
So for me, It would be easiest to fly down, as it would be one less vacation day to burn, for only $34 more than the train, and certain cheaper and easier than driving, plus putting 2,000 miles on the truck.

Heh heh heh...that's pretty much the same math I do for each of the cons I attend, Francisca. And then I remember I have about 5oo pounds of books and other crap for a booth that has to get from point A to point B for the con. So I decide to drive.

You make your plans and sign your contract in July, and a year later they still dont' know what the hell is going on. And wait until three weeks before the convention to straighten everything out. Morons.
Next hotel will have experience at putting on and holding conventions.
BTW, ALL rooms have a pull-out sofa. The one I slept on last year was pretty comfortable, but it was still a sofa bed. Still, a nice option.

Be awesome if you found some place with a bar - that seemed to work well at Gary Con. Still, no sweat either way, because, if I remember right, there were coolers and flasks galore last year. Also, I know selling drinks and snacks helps you defray the other overhead costs, so I wouldn't want the hotel bar to interfere with that revenue stream.Doug wrote:Glad we will have to switch hotels next year... As for having two beds, I guess DungeonDork and I got lucky back in 2010. We were able to get a room with two beds without issue.
